A Client Portal is a persistent space for one external client. It can contain several projects with separate project/stage visibility and access-link permissions. Plans and limits determine how many active portals and links its owner can create.
Create the portal
Section titled “Create the portal”- Open Client Portals → New Portal.
- Enter Internal name so your team can identify it. Use Display name for the client-facing name.
- Choose the intended personal or organization Owner. This determines entitlements and who can manage the portal.
- Choose Create portal, then open its detail page.
An organization owner or manager can manage the organization’s portals. Don’t create a personal portal merely because the intended organization is missing; check workspace access first.
Attach projects and show stages
Section titled “Attach projects and show stages”Open Projects → Attach project, select the intended project, and confirm. Check each attached project’s visibility.
Inside the project, configure client visibility for the upload stage and the review stage separately. Keep the upload stage hidden when the client only needs to review the team’s file. Show it when the client must supply material or revisions.
Removing a project’s portal attachment and deleting the production project are different actions. Check the confirmation’s scope before removing anything.
Issue an access link
Section titled “Issue an access link”Open Links → Mint link. Set a recognizable label and the required permissions:

Set the expiry and optional Require visitor email on first open, then choose Create link and copy it. Requiring an email identifies the visitor; it doesn’t make them a member of the internal team.
Open the link in a separate browser profile before sending it. Check the project, selected draft, and actions the client actually sees. Use the client’s guide when they need instructions.
Edit or revoke a link
Section titled “Edit or revoke a link”Use a link row’s edit control to change its label, permissions, expiry, or password. Revoke a link when it should stop allowing future access. Expired and revoked links need an active replacement; copying the same inactive URL doesn’t renew it.
Link access doesn’t erase a file that a recipient already downloaded. Use the minimum download access appropriate for the agreed review.
Branding
Section titled “Branding”Open Branding to upload a logo or cover and adjust the available colors, font, layout, and saved themes. Save and inspect the client-facing result. Base uses default branding; custom branding requires Pro or Business.
Keep a reusable theme free of client-specific imagery or text if you intend to apply it to another client. Changing a draft setting isn’t the same as saving it.
Passwords
Section titled “Passwords”Add or change the password when creating or editing a link. Give the client the intended access details through your normal communication channel. An existing visitor session and a newly opened link can behave differently; verify the fresh client view after changes.
Custom link domain
Section titled “Custom link domain”Configure the owning organization’s domain in Settings → Organization → Custom Domain. Enter the subdomain, choose Add, and give your DNS administrator the TXT verification and CNAME routing records displayed by Stago.
After the records are available, choose Verify DNS. When the domain is verified and active, select it in Link domain while creating a new portal or brief link. Existing issued URLs don’t automatically become new-domain links.
Use the record values shown for your own workspace; don’t copy another organization’s verification value. Verified DNS and an eligible subscription are separate requirements.
Activity and portal settings
Section titled “Activity and portal settings”Activity shows visits and client actions. Use the available project, visitor, date, and event filters to inspect the intended scope. A visit doesn’t prove that a client watched the whole file or approved it.
Settings edits the internal/display names, description, and slug. Archive or unarchive from the portal header when you need to change its active state. Archiving is separate from permanent deletion; read the confirmation before a delete action.
Portal email notifications have their own plan eligibility; delivery also depends on the team’s notification preferences. For missing controls or files, use access and sharing and troubleshooting.
