Start with one production so you can check ownership, access, and review before importing a larger back catalog.
Choose your workspace
Section titled “Choose your workspace”Check the personal/organization context in the navigation. The owner determines project capacity, storage, credits, and paid features. On a personal account, start in your own workspace; use an eligible organization when the team needs shared ownership.
Create the project and add people
Section titled “Create the project and add people”Open Projects → New project → Manual project. Enter the name and description, choose the intended workspace and deadline, then create it.
Inside the project, open Team Members → Manage. Use Add for existing contacts or Invite by Email for a new collaborator. Choose the intended role and confirm. The general Participants catalog and membership in this particular project are separate.
Build the work
Section titled “Build the work”Use Add Stage for each task or content upload. Select assignees and approvers separately. Use choose a content type for video, audio, images, documents, or links.
Start with Free workflow for independent work. Use Strict workflow or Flow dependencies when stages must wait for earlier results. Set deadlines to record timing, not as a substitute for dependencies.
Review and revise
Section titled “Review and revise”Upload material and open the paired review when that content flow creates one. Check the preview and correct draft, collect comments, then use Approve or Request Changes when authorized.
Collaborative documents and link collections work within their own stage rather than creating the same automatic upload/review pair.
Share with clients
Section titled “Share with clients”Create a Client Portal, attach the project, show the intended review stages, and issue a link with suitable permissions. Check the link in a separate browser profile before sending it.

Finish and keep track
Section titled “Finish and keep track”Select the approved release assets, complete final approval, and verify the client’s delivery access. Set your notification channels and use the Dashboard and calendar for the next work.
For reusable brand material, use the File Library on eligible plans. Check plans and quotas when a control or upload allowance is missing.
